Responsibilities

General summary:The Event Coordinator supports the Event Planner, as directed, to deliver quality ACT College and Career Readiness Workshops.

Job Duration: Training would begin on Tuesday, August 18. Requires approximately 20 hours per week at the ACT Corporate Office in Iowa City. Pay is $16 per hour. Each intern should be able to dedicate up to 15 - 20 hours per week to work between the hours of 8:00 am - 6:00 pm CST Monday through Friday. The exact work hours are somewhat flexible to accommodate class schedules. The internship will end on Friday, November 13, 2020.

Essential job functions:

  • Coordinate ACT College and Career Readiness Workshops. Workshops duration is from September 8, 2020 – November 20, 2020.

  • Communicate effectively with internal staff and event site contact to coordinate workshop details.

  • Organize attendee registration site within salesforce. Maintain accuracy of salesforce database.

  • Coordinate workshop catering, setup, AV and logistical information.

  • Order and ship materials to workshop site – track shipment.

  • Produce on-site registration sheets for each workshop.

  • Review event bills for accuracy and approve payment.

  • Additional event planning tasks that may be assigned.

Regularly exercise discretion and independent judgment in making work-related decisions.

Qualifications

Education and experience: Working towards a degree or certification in event planning or communications.

Knowledge, skills and abilities:

Demonstrate competence in:

  • Strong listening, speaking and writing skills.

  • Strong relationship skills.

  • Detail oriented.

  • Demonstrates resourcefulness, initiative and ability to meet tight deadlines.

  • Skilled in using computers, devices and software including word-processing, spreadsheet, database, and Customer Relationship Management (CRM) – preference for salesforce.com (will train).

  • Ability to determine logical solutions to complicated problems.

  • Highly organized and able to manage multiple, simultaneous workshops.
